AI review

See how NMC's AI summarizes new leads, when it updates a stage automatically, and what waits for your decision.

AI review reads a lead’s earliest informative activity: the first call with enough conversation, the opening texts once messages pause, a form submission, or a forwarded email. It answers a set of structured questions about what the person asked for, writes a brief summary, and turns those answers into a suggestion:

  • Qualified: Suggested when the caller or sender asks for work your business handles, asks for a clear next step (a price, site visit, booking, or callback) or describes an active problem needing service, and doesn’t say they aren’t ready yet.
  • Close (Not a lead): Suggested for robocalls and sales pitches, wrong numbers, job seekers, work either side declined, or follow-ups about a job you already completed.
  • No suggestion: When there isn’t enough detail to tell either way, the lead stays in its current stage untouched.

AI review only sees what arrived inside NMC and cannot know what happened later on a callback or site visit.

What applies automatically vs. what waits for you

Section titled “What applies automatically vs. what waits for you”
  • Moving to Qualified: When AI review sees a clear request for work, NMC moves the lead to Qualified automatically if Google Ads would still let you retract that conversion later (such as website clicks). When Google Ads wouldn’t allow retracting the conversion later, NMC leaves it as a suggestion for you to confirm.
  • Closing as Not a lead: AI review never closes a lead on its own right away. Instead, the lead appears in Needs review so you can click Close lead to accept the suggestion, move the lead to another stage, or pick a different close reason (unless Auto-update inactive leads later applies it).
  • Holding irreversible Google Ads uploads: While AI review suggests closing a lead as Not a lead, NMC holds back Qualified and Converted uploads that Google cannot take back (calls from ads and iOS gbraid / wbraid clicks). New still uploads. Held conversions show Waiting for your review: if you keep and progress the lead, NMC uploads them; if you close the lead as Not a lead, they are never uploaded.

AI review never marks a lead Converted, enters a dollar value, replies to a customer, deducts extra fees, or alters your ad budgets. Always check the recording, transcript, text, or form yourself if a summary or suggestion looks off.

Auto-update inactive leads (under Settings → Lead handling) is turned off by default. When you turn it on, you pick an inactivity window from 1 to 14 days (defaulting to 7 days):

  • If an inactive lead gets no new activities and no manual updates for that many days, NMC applies its Needs review AI suggestion automatically.
  • If the inactive lead had no AI suggestion, NMC Archives it without a close reason.
  • Changes made by this setting are badged Auto in the inbox and lead journey.

Weigh your team’s follow-up pace before turning this on, since inactive leads will close or advance automatically once the timer runs out. Even with it enabled, keep checking Needs review and recording won jobs as they happen.
